Opportunity
The Talent Logistics Coordinator will support the Talent Director in managing talent-related logistics for main stage events. This role involves organizing accommodations, transportation, and greenroom needs to ensure smooth experiences for talent. The position also offers growth opportunities within the organization.

Key Responsibilities:

Hotel Coordination

  • Research and book 4-star accommodations that meet talent needs, considering proximity to arenas and airports.
  • Maintain and update rooming lists, negotiate contracts, and manage communication with hotel staff.
  • Review and reconcile final hotel bills for payment.

Transportation Logistics

  • Contract and manage professional car services for seamless talent transportation.
  • Develop transportation schedules and plans for each city.
  • Communicate updates, address challenges, and ensure smooth travel arrangements.
  • Reconcile transportation invoices for approval and payment.

Talent Logistics

  • Create and distribute detailed itineraries for talent.
  • Manage COMP ticket spreadsheets and track talent arrival/departure schedules.
  • Coordinate greenroom supplies and preferences, including snacks and gifts.
  • Collaborate with the Events team on greenroom setup and catering headcounts.
  • Work with the Production team on talent timing and schedule.
  • Provide on-site support during events, resolving last-minute issues as needed.

On-Site and Event Support

  • Travel to events occasionally to act as a liaison for talent, managing real-time logistical needs.
  • Prepare event materials, including schedules, maps, and checklists, to ensure smooth operations.
  • Proactively address challenges to maintain exceptional experiences for talent.

Qualifications:

  • 1+ years in event coordination, hospitality, or related fields.
  • Strong organizational, communication, and problem-solving skills.
  • Proficiency in Microsoft Office Suite.
  • Flexibility to travel and work non-traditional hours during events.
