Opportunity
The Fulfillment Events Coordinator plays a key role in executing SurgeU fulfillment events (e.g., SurgeU Campus, Momentum, Surge Protect, etc.). This position is responsible for venue sourcing, coordinating event logistics, reconciling final bills, executing onsite SurgeU Campus events, and maintaining clear internal communication.
The ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced, collaborative environment.
Responsibilities:
Venue Sourcing: Identify, evaluate, and secure venues suitable for events, ensuring alignment with event goals and audience needs.
Logistics Coordination: Manage all logistical aspects including AV setup, catering, room layouts, signage, and printed materials where required.
Vendor Management: Liaise with external vendors to confirm services, timelines, and deliverables.
Billing & Reconciliation: Review and reconcile final invoices from venues and vendors, ensuring accuracy and budget compliance.
Internal Communication: Maintain updated event details in Teams and Asana; ensure all stakeholders are informed and aligned.
Rooming & Travel Coordination: Draft and finalize rooming lists; coordinate travel arrangements with the Travel Manager as needed.
Print & Materials Oversight: Confirm and submit print orders; ensure timely delivery of all event materials.
Parking & Capacity Updates: Communicate parking instructions and room capacity details to relevant teams.
Team Collaboration: Distribute assignments and schedules; support cross-functional coordination.
Qualifications:
Proven experience in event coordination.
Proficiency in collaboration tools such as Notion, Teams, Asana, and SharePoint.
Strong communication skills—both written and verbal.
Ability to manage multiple projects and meet tight deadlines.
High attention to detail and problem-solving capabilities.
Familiarity with AV setups and event production is a plus.
Adaptability and a proactive approach to resolving challenges.
Ability to work weekends when required by event schedule.
