Opportunity 

The Wealth Surge Logistics Coordinator is responsible for ensuring the seamless execution of Wealth Surge Impact Classes by managing logistical requirements for each class location and market. This role requires exceptional organizational skills, attention to detail, and the ability to coordinate with various teams and external vendors. 

Responsibilities:  

  • BEO Coordination: Collaborate with venues to ensure Banquet Event Orders (BEOs) are properly contracted and confirmed. 

  • AV Management: Coordinate with contracted Audio-Visual (AV) vendors to ensure equipment and services meet event specifications. 

  • Assignment and Scheduling: Distribute assignments and schedules to relevant team members. 

  • Rooming List Management: - Draft and send initial rooming lists. - Finalize and send completed rooming lists to stakeholders. 

  • Print Confirmation: Confirm that all required printed materials are prepared and delivered. 

  • Teams and Asana Management: Set up Teams channels for event communication and ensure they’re updated with relevant details. 

  • Communication and Coordination: Provide timely and professional responses to all event-related inquiries. 

  • Print Orders: Submit print orders to Johnson Printing for materials needed across markets. 

  • Parking Notes and Room Capacity: Update necessary stakeholders with parking details and room capacity information. 

Qualifications: 

  • Proven experience in logistics coordination, event planning, or a related field. 

  • Strong proficiency in Notion, Teams, Asana, SharePoint, and other collaboration tools. 

  • Excellent written and verbal communication skills. 

  • Ability to manage multiple projects and deadlines simultaneously. 

  • High attention to detail and problem-solving skills. 

  • Familiarity with AV requirements and event setups is preferred. 

  • Organizational Excellence: Efficiently manage time-sensitive tasks and maintain organized records. 

  • Communication: Clear, proactive communication with internal teams, external vendors, and venue representatives. 

  • Team Collaboration: Work effectively with cross-functional teams to ensure a seamless event experience. 

  • Adaptability: Adjust to changing circumstances and resolve issues promptly.
